A salutation is part of good manners and thus at the beginning of every e-mail. But how do you address your readers? Before you decide on a salutation, you should consider the topic and the target group of your newsletter. Because even if the first name is familiar: In the B2B sector, this is used rather rarely, unless your personal relationship is very close or long-standing, or it fits your defined communication strategy.
By addressing your addressees with “Mr.” or “Ms.” plus their last name, you are therefore not doing anything wrong at first. However, keep in mind that some people identify as non-binary (i.e., neither male nor female), and keep this in mind when implementing your personalizations.
And if you don’t have all the names? Then the HeyForm personalization helper is at your side. It scans your distribution list for missing salutations and names and automatically uses the formal salutation “Dear Sir or Madam” if it does not find any stored data.
Sometimes the regional origin of the sender can even be the deciding factor for a particular form of address.
